Data protection

General Data Protection Regulation affects the way that organisations keep information about their members. One of the key requirements is to ensure that your personal data is used in ways that you would reasonably expect as a member of Cleobury Gardeners and have minimal impact on your privacy. 

We issue a form to collect members’ contact details for our membership list and also to seek their permission for such data to be collected and held. We keep a record of members’ names, addresses, email address and contact telephone number(s) so that:

  • we have a full list of members, who will be covered for insurance purposes
  • we will be able to: send details of events (meetings, visits, social occasions); keep them informed of any changes to planned activities should they occur; request assistance (such as working parties for specific activities); notify them with news about members (for example if they become ill or would like to give away any unused gardening items); and send out a periodic Newsletter to keep them updated.
  • we will be able to check payment of membership fees and allotment rents as they are paid by cash, cheque or bank transfer.

Members’ details:

  • will be used only by the Chair, the Secretary, the Treasurer, the Social Secretary and the Allotment coordinator for the purposes detailed above
  • will not be shared with anyone else nor used for any additional purposes other than those specified
  • will always be hidden on email communications by the use of ‘blind-copy recipients’ (bcc) as now
